Private staff notes are not part of the visitor-visible conversation.
Use an email address you control. Email can be forwarded, accessed on shared devices or delivered to an incorrect address if you mistype it. Do not include sensitive medical details in chat or email.

A cookie expiring, closing the panel, or selecting End conversation does not delete the server-side record.
Chat analytics record generic interactions such as opening a panel, confirmed message receipt and a team member joining, subject to statistics consent. We do not send chat messages, email addresses, phone numbers, health topics or conversation references to Google Analytics.
Get Help currently connects you to the FADC team through one conversation. The chat currently does not generate AI replies or send its messages to an external AI provider. A team-availability indicator is not a guarantee of an immediate response; the interface shows when a human has actually joined.
If an AI assistant is introduced into this conversation, it will be identified as AI, with an explanation of the provider, information shared and relevant choices before that processing begins. A human conversation will not automatically be shared with an AI provider merely because that provider is configured elsewhere on the website. Any such change will be reflected in this policy and the chat notice.
Chat is for general navigation information, not medical advice, diagnosis, triage, treatment, referrals or emergencies. Do not send health-card numbers, diagnoses, medication details, medical records, financial details or sensitive information about someone else.
We do not sell personal information. We may share personal information with service providers and vendors that help operate the website, host data, process payments, send emails, manage bookings, provide analytics, run advertising, detect security threats, and provide technical support.

Our existing hosting infrastructure, Brevo transactional email service and business email provider support delivery and follow-up. Notification and follow-up emails may contain contact details, the conversation reference and relevant message content. These service providers process information for these operational purposes; chat is not a public post.
When you submit “I Called This Clinic” or “Report Update” information, we may review the submission, use it to verify public clinic details, contact you for clarification, and update public listings after review.
We will not intentionally publish your name, email address, phone number, or personal notes as part of a public listing. However, factual clinic status information from your report may be used to improve the directory.

Retention of chat records is separate from the seven-day browser cookie and includes support follow-up, security and applicable recordkeeping needs.
